Extended Descriptions
Extended descriptions let you add detailed, formatted text below any line item. Use them for scope of work details, technical specifications, or terms that need more explanation.
Adding an Extended Description
Click the expand arrow (▼) on the right side of any line item. A rich text editor appears where you can type or paste your content. Click outside to save.
Formatting
The editor supports bold, italic, bulleted lists, numbered lists, and links. Use Cmd/Ctrl + B for bold and Cmd/Ctrl + I for italic.
When to Use Extended Descriptions
Extended descriptions work well for complex services that need detailed explanation, technical products with specifications, or deliverables that benefit from a clear list of what’s included.
Don’t add extended descriptions to every line item—use them selectively where the extra detail helps your client understand what they’re paying for.
In Print and PDF
Extended descriptions appear below their line item on printed invoices and PDFs. The formatting is preserved, though links won’t be clickable in PDF.
In Xero
Extended descriptions sync to Xero, but formatting is simplified to plain text.
