Creating Invoices

This article covers invoice creation in detail. For a quick overview, see Creating Your First Invoice in Getting Started.

Invoice Fields

Invoice Number: Auto-generated using your number format (e.g., INV-0001). Configure the format in LiteWork Settings → Numbering.

Invoice Date: Defaults to today. This is the date you’re issuing the invoice.

Due Date: When payment is expected. Defaults to 30 days after the invoice date, configurable in settings.

Client: Select from your contacts or add a new one. Their name and address will appear on the invoice.

Optional Fields

Reference Number: Your client’s purchase order or job number. Click “Add Reference” to show this field. Useful if your client needs to match invoices to their internal tracking.

Shipping Address: Click “Add Shipping” if the delivery address differs from the billing address. Mostly relevant for product invoices.

Notes: Add payment instructions, thank you messages, or terms at the bottom of the invoice.

Calculations

The subtotal is the sum of all line items. Tax (GST) is calculated based on your tax settings. Configure whether your prices are tax-inclusive or tax-exclusive in LiteWork Settings → Tax.

After Creating

Once your invoice is ready, you can download it as a PDF to email to your client, or post it to Xero to track payment and keep your accounting in sync.
