Products & Services (Saved Items)

If you bill for the same things over and over, save them once as Products & Services and drop them into any invoice or quote by typing — no re-entering the price, tax rate, or duration each time. It’s the fastest way to build a document when your work follows a familiar pattern.

Opening Products & Services

Click the Products & Services button (the package icon) in the top toolbar. You can also get there from any line item: start typing in the Description field and choose Manage Products at the bottom of the dropdown.

📝 Note: This feature used to be called “Quick Items.” It’s the same idea — a reusable library of your common line items — just renamed.

What a saved item stores

Each saved item can carry the details you’d otherwise type by hand:

  • Description (the name that appears on the document)
  • Unit price
  • Default quantity
  • Tax rate
  • Default duration and its unit (for time-based work)
  • Notes

If you’re connected to Xero, items also hold a purchase (cost) price and account code for accounting. Saved items do not store a discount or a rich-text extended description — those stay on the line item itself, on the individual document.

Adding and organising items

Inside the Products & Services window, click Add Item and fill in the details. As your library grows, a few tools keep it tidy:

  • Favourites — click the star to float an item to the top. Favourites are the first thing you see when inserting, so star the handful you use every day.
  • Categories — group items in the sidebar (All Items, Favourites, your own categories, Uncategorised) and filter the list.
  • Show/hide from the quick list — keep a rarely-used item in your library without cluttering the type-ahead picker.
  • Dividers and drag-to-reorder — arrange the list the way you think about your work.

Using a saved item in a document

You don’t insert from a separate menu — the line item’s Description field is the picker:

  1. On an invoice or quote, start a new line (or press Cmd/Ctrl + I).
  2. Begin typing in the Description field. A list appears, showing your Favourites first.
  3. Keep typing to filter, then click the item you want. Its price, tax, quantity and duration fill in automatically.
  4. Adjust anything for this particular job — changes here don’t touch the saved item.

To add several at once, open Products & Services, tick the items you want and choose Add to Document.

💡 Tip: Editing a saved item only changes what gets inserted next time. Documents you’ve already created keep their own copy of the line, so updating a price won’t rewrite old invoices.

Keeping in sync with Xero

If you use Xero, your Products & Services stay in step with Xero’s own items list. You can Import from Xero to pull your existing Xero items in, Export to Xero to push new ones out, and a status indicator shows which items are in sync. Where the two sides disagree, LiteWork flags the conflict so you can choose which version to keep.
