Posting Invoices to Xero
Send invoices from LiteWork to Xero for accounting, payment tracking, and reporting.
Contacts and Posting
You can post an invoice even if the contact doesn’t exist in Xero yet. LiteWork will automatically create the contact in Xero when posting. The new contact will appear in LiteWork on the next contact sync.
Post an Invoice
Open the invoice and click Post to Xero. Choose whether to post as Draft (for review in Xero before approving) or Approved (creates accounting entries immediately).
For batch posting, select multiple invoices from the list view and use the “Post to Xero” bulk action.
Auto-Post
Enable auto-post in LiteWork Settings → Xero Integration to automatically post invoices whenever you save them. This is fastest for high-volume invoicing but removes the review step.
After Posting
The invoice displays a green checkmark and stores its Xero ID. You can click “View in Xero” to open it directly.
Once in Xero, you can assign account codes to line items just as you would for invoices created directly in Xero. LiteWork makes it easy to create and send professional invoices while giving you the full power of Xero’s accounting system for categorization and reporting.
Record payments in Xero when customers pay.
Common Errors
Duplicate invoice number: That number already exists in Xero. Change it in LiteWork and retry.
Invalid account code: The default account code doesn’t exist in your Xero chart of accounts. Update it in LiteWork Settings.
Connection expired: Xero connections expire every 60 days. Go to LiteWork Settings → Xero Integration and reconnect.
