Exporting Documents (PDF, Item List, Spreadsheet)

Besides emailing a document or posting it to Xero, LiteWork can export the invoice or quote you have open in several formats. You’ll find them all under the Send or Export button in the toolbar — here’s what each one is for.

Export PDF

The standard, fully-formatted PDF of your invoice or quote, with your logo, branding, line items, totals and notes. Choose Download PDF for the finished document, or Download Draft PDF to get the same layout with a DRAFT watermark while you’re still working on it. Export Item List

A stripped-back PDF that lists what’s on the document without any prices — just the description, quantity and (where relevant) duration. It hides the cost, tax and total columns, the totals table, and the notes, leaving a clean item breakdown.

It’s handy as a picking or packing list, or for showing a client the scope of a job without the numbers. Pick Item List PDF for the final version or Draft Item List PDF for a watermarked draft.

Export Spreadsheet

Two options sit under here:

  • Excel Spreadsheet — downloads the document as an .xlsx file with live formulas. Change a quantity or unit price in Excel, Numbers or Google Sheets and the line totals, subtotal, tax and grand total all recalculate — useful for quick what-if pricing. (Quotes and “No Tax” documents come without a tax column, so the total simply equals the subtotal.)
  • Xero CSV — available on invoices only. It produces a CSV in Xero’s invoice-import column format so you can bring the invoice into Xero by hand. It’s an alternative to the live Push to Xero for anyone who prefers Xero’s manual CSV import.

💡 Tip: The Excel export is per-document — it’s the invoice or quote you have open, not your whole company. To back up everything at once, use the full company backup under LiteWork Settings → Import/Export.

Print

The Print… option opens your browser’s print dialog for the current document — useful for a quick paper copy or “Save as PDF” from the print menu.
