Managing Venues

Venues (also called service locations) are reusable location records you can attach to invoices and quotes. If your business works at different sites — event venues, construction sites, client offices, conference centres — venues save you from re-entering address details every time.

Creating a Venue

  1. Open the Venues modal from your settings or navigation
  2. Click “Add Venue”
  3. Fill in the details:
    • Venue Name (required)
    • Organisation: The company operating the venue
    • Room / Location: Specific area within the venue
  4. Add the address: street, city, region, postal code, country
  5. Optionally add contact details: contact person, email, phone, website
  6. Add any internal notes (not shown on documents)
  7. Click Save

Using Venues on Documents

To add a venue to an invoice or quote:

  1. Open the venue record
  2. Click “Assign to Document”
  3. Select the document

The venue’s details appear on the document in the location section. You can control whether the venue section displays on documents in your Document Settings.

💡 Tip: The section label is customisable — you can call it “Venue”, “Service Location”, “Event Location”, or whatever fits your business, via LiteWork Settings.

Importing Venues

You can import venues from VCF (vCard) files:

  1. Open the Venues modal
  2. Drag and drop a VCF file onto the import area, or click to select a file
  3. Multiple venues can be imported from a single VCF file

This is useful if you have venue contact information stored in your phone’s contacts or another address book.

Exporting Venues

To export a venue as a VCF file (for sharing or backup), open the venue and click the export option. The downloaded file can be imported into contacts apps, other software, or shared with colleagues.

Internal Notes

Each venue has a notes field for information that’s useful to you but shouldn’t appear on client-facing documents — parking instructions, access codes, loading dock locations, on-site contact details, etc.

Searching and Managing Venues

If you manage many venues, use the search bar in the Venues modal to quickly find what you need. Venues can be sorted, edited, or deleted at any time.

📝 Note: Deleting a venue removes the record but doesn’t affect any documents it was previously assigned to — the venue details remain on those documents.
