Home 9 Xero Integration 9 Posting Quotes to Xero

Tips

  • Set realistic expiry dates (typically 30 days)
  • Send from LiteWork for tracking, post to Xero for records

Posting Quotes to Xero

Post quotes to Xero so customers can accept them online and you can track your quote-to-invoice conversion rate.

Post a Quote

Open the quote and click Post to Xero. Choose the status:

  • Draft: Saved in Xero but not sent to customer
  • Sent: Customer receives an email with a link to accept or decline
  • Accepted: Mark quotes as accepted (syncs with Xero)

If posting as “Sent,” Xero handles the customer email. Otherwise, send the quote from LiteWork and post to Xero just for your records.

Quote Status

Quote statuses sync between LiteWork and Xero. When a customer accepts via Xero’s online portal, the status updates automatically. You can also manually set the Accepted status in LiteWork and sync it to Xero.

Converting to Invoice

After acceptance, open the quote in LiteWork and click Convert to Invoice. All line items transfer to a new invoice. Post the invoice to Xero to complete the workflow.

The quote remains in your records—conversion creates a new invoice, not a replacement.
