Understanding Usage Limits
Each LiteWork plan has limits on documents, team members, and companies. Understanding these limits helps you choose the right plan and avoid hitting restrictions.
Plan Limits

During your trial, you have Business plan limits—so you can properly evaluate LiteWork without restrictions.
Document Limits
The document limit counts invoices and quotes created each month. Here’s what counts and what doesn’t:
What Counts
- Each new invoice you create
- Each new quote you create
- Documents imported from Xero (counted when first synced)
What Doesn’t Count
- Editing existing documents
- Viewing documents
- Creating document revisions
- Documents from previous months
The count resets on your billing date each month. If you’re on annual billing, it still resets monthly—not annually.
Tip: Check your usage anytime in LiteWork Settings → Billing. Progress bars show how many documents you’ve used this month.
Team Member Limits
The team member limit is how many people can access your organization at once:
- Solo — Just you (1 user)
- Team — Up to 5 people
- Business — Up to 25 people
This counts all active team members, including yourself (the owner). Pending invitations that haven’t been accepted don’t count toward the limit.
Company Limits
The company limit is how many separate businesses you can manage:
- Solo — 1 company
- Team — Up to 3 companies
- Business — Up to 10 companies
Each company has its own invoices, quotes, contacts, and settings. This is useful if you run multiple businesses or manage invoicing for different entities.
What Happens at the Limit
Document Limit Reached
When you’ve created the maximum documents for the month:
- You can still view and edit existing documents
- You can’t create new invoices or quotes
- An upgrade prompt appears when you try to create a new document
- The limit resets on your next billing date
Team Member Limit Reached
When your team is full:
- Existing members keep full access
- You can’t invite new members
- Remove a member or upgrade to add more
Company Limit Reached
When you’ve created the maximum companies:
- Existing companies work normally
- You can’t create new companies
- Delete a company or upgrade to add more
Checking Your Usage
To see your current usage:
- Go to LiteWork Settings → Billing
- Look at the usage section
You’ll see progress bars for:
- Documents created this month
- Team members
- Companies
Upgrading for More Capacity
If you’re regularly hitting limits, consider upgrading:
- Solo → Team — 4x more documents, add team members
- Team → Business — 5x more documents, larger team
Upgrades take effect immediately. Go to LiteWork Settings → Billing and click Change Plan.
Note: If you’re hitting document limits occasionally, you might just need to wait for the monthly reset rather than upgrading. Check if you can batch your invoicing differently.
Downgrading Considerations
Before downgrading, check that you’re within the limits of your new plan:
- If you have 5 team members and downgrade to Solo, you’ll need to remove 4 members
- If you have 3 companies and downgrade to Solo, you’ll need to delete 2 companies
- Document count isn’t an issue for downgrading—existing documents are preserved
