Connecting to Xero
Connect LiteWork to Xero to automatically sync invoices, quotes, and contacts with your accounting system.
Before You Connect
You’ll need an active Xero subscription with Standard User or Administrator access. Make sure your chart of accounts and tax rates are configured in Xero first.
Connect
Go to LiteWork Settings → Xero Integration and click Connect to Xero. You’ll be redirected to Xero’s authorization page.
Log in to Xero if prompted. If you have multiple organizations, select the one you want to connect. Review the permissions LiteWork is requesting (contacts, invoices, quotes, chart of accounts, tax rates) and click Authorize.
You’ll be redirected back to LiteWork with a success message.
Configure Sync Settings
After connecting, set your preferences:
Default account code: Which Xero account to post sales to (typically “Sales” or “Revenue”).
Default tax rate: GST on Income for NZ, GST for Australia, or your region’s equivalent.
Auto-sync: Enable this if you want documents to sync automatically in the background.
Import Contacts
After connecting, go to Contacts → Import from Xero to pull your existing Xero contacts into LiteWork. This establishes the links between systems and prevents duplicates.
Test the Connection
Create a test invoice, post it to Xero, and verify it appears correctly in Xero with the right account codes and tax.
Token Expiry
Xero connections expire every 60 days for security. LiteWork will notify you before expiry. Click Reconnect to refresh the connection—it only takes a few seconds.
Disconnecting from Xero
You might need to disconnect from Xero when switching organizations, troubleshooting connection issues, or ending your Xero subscription.
What Happens When You Disconnect
- In LiteWork: All your invoices, quotes, and contacts remain exactly where they are. Nothing is deleted.
- In Xero: Everything stays the same. Documents already synced remain in Xero.
- Xero IDs are preserved: If you reconnect to the same Xero organization later, your existing links will still work.
How to Disconnect
Go to LiteWork Settings → Xero Integration and click Disconnect from Xero. Confirm when prompted.
You can also revoke access from within Xero: go to Xero Settings → Connected Apps → find LiteWork → Disconnect.
Reconnecting Later
To reconnect, click Connect to Xero and authorize again. If you select the same organization, your existing document links are preserved—no duplicates will be created.
If you connect to a different organization, previous Xero IDs become invalid. Documents will be treated as “not in Xero” and you’ll need to post them fresh.
Working Without Xero
LiteWork works fine without Xero. You can still create invoices and quotes, manage contacts, and export to PDF.
