Updating Documents in Xero

After posting an invoice or quote to Xero, you can update it if changes are needed.

How to Update

Edit the document in LiteWork, save it, then click Update in Xero (or “Post to Xero” again—it updates the existing record rather than creating a duplicate).

What Updates

Line items, descriptions, quantities, prices, due dates, references, and contact details all sync. The invoice/quote number and document type cannot change after initial posting.

Status Limitations

Draft: Fully editable in both systems.

Approved (invoices): You can update due date and reference, but not line items or amounts. To change amounts on an approved invoice, void it in Xero and create a new one, or use a credit note.

Paid (invoices): Almost nothing can change. Use credit notes for corrections.

Avoiding Problems

Before editing, check the invoice status in Xero. If it’s already approved or paid, plan your approach—you may need to void and recreate rather than update.

After updating, verify the changes appear correctly in Xero. The “View in Xero” link takes you directly there.
