Switching to LiteWork

Moving to a new invoicing tool doesn’t have to be painful. Whether you’re coming from spreadsheets, another invoicing app, or starting fresh, this guide covers how to bring your existing data into LiteWork and get up and running.

From Xero

If you use Xero for accounting, the fastest way to get started is to connect LiteWork to Xero. Once connected:

  • Your existing contacts sync automatically
  • You can import existing invoices and quotes from Xero
  • New documents you create in LiteWork can be posted back to Xero

This is the recommended approach if Xero is your accounting system. See Understanding Xero Sync for details on how synchronisation works.

From CSV / Spreadsheets

LiteWork’s import system supports CSV files for bringing in data from other tools or spreadsheets:

Importing Contacts

  1. Export your contacts from your current tool as a CSV file
  2. Go to LiteWork Settings → Import/Export
  3. Map your CSV columns to LiteWork’s contact fields
  4. Review and import

Importing Other Data

LiteWork’s Import/Export System covers CSV import in detail, including field mapping, data validation, and troubleshooting common import issues.

From Another Invoicing App

Most invoicing tools (FreshBooks, Wave, Invoice Ninja, etc.) let you export contacts and invoice data as CSV. The general approach:

  1. Export your data from the old tool (usually under Settings → Export or similar)
  2. Import contacts into LiteWork first
  3. Set your invoice numbering to continue from where you left off
  4. Start creating new documents in LiteWork

📝 Note: LiteWork doesn’t import invoice documents from CSV — invoices are created natively in LiteWork. If you need historical invoices accessible, keep your old tool’s export for reference, or connect to Xero which can import invoice records.

Starting Fresh

If you don’t need to bring in historical data:

  1. Create your account
  2. Set up your company with your details and logo
  3. Configure your invoice numbering, tax settings, and default terms
  4. Create your first invoice
